A global leader in maritime transport and offshore engineering needed a SharePoint engineering document management portal to manage engineering documentation across multiple international offices. The existing document structure made it difficult for engineers and super users to quickly find the right files, apply consistent classification rules and maintain reliable document control across teams.
To address these challenges, we designed and implemented a custom SharePoint portal tailored specifically for the engineering department. The goal was to provide a centralized, user-friendly and well-governed platform for engineering documents, with clear navigation, secure access and metadata-driven organization.
The solution included a centralized portal with clean navigation and access control, limited to engineers and designated super users. This helped ensure that the right people could access the right content while reducing unnecessary exposure of sensitive engineering documentation.
We also implemented automated document classification and routing using SharePoint’s Content Organizer. Uploaded files were automatically dispatched to the correct library based on document type, reducing manual filing errors and improving consistency across the portal.
Search was another important part of the solution. Custom search scopes and refiners helped users quickly locate relevant documents by category, metadata, department or document type. This made the portal more efficient for daily engineering work and reduced the time spent searching through scattered folders or local storage locations.
The SharePoint engineering document management portal also relied on standardized content types, structured libraries, metadata-based views and clear document categories such as engineering, operations, assets and software models.
The final platform improved document discoverability, strengthened document control and created a single governed workspace for engineering teams working across different locations.
