Ophtalmic, a specialized French pharmaceutical company in ophthalmology, required a centralized digital workspace to streamline interdepartmental collaboration, ensure regulatory compliance, and automate critical business processes. We led the end to end design and deployment of a SharePoint platform, initially on-premises and later migrated to SharePoint Online using ShareGate to support their ISO certification initiative.
the project’s primary objectives were to formalize processes, centralize documentation, and enforce traceability across all departments. the on-premises solution featured:
- Departmental sites: each site shared a consistent design language, provisioned via PowerShell scripts, and included four core web parts: department staff directory, managers directory, a document library, and a team-specific component (either a chat widget or a custom list view).
- Navigation: a browsable organizational chart provided a visual map of the company structure, enabling users to jump directly to any department.
- Automated workflows: quality control divisions used a “non-conformities” list tracking department, issue type, resolution status while custom workflows routed approvals, managed continuous improvement cycles. the purchasing team managed furniture requests through a dedicated form and approval flow.
- Bulk profile updates: to populate staff photos in directory web parts, we developed a custom PowerShell script that synchronized images from an internal photo repository into SharePoint user profiles.
to eliminate folder-based navigation and speed document retrieval, we defined content types, configured metadata columns, and built custom views that surfaced pending approvals, recent submissions, and other key items. Lifecycle policies and versioning were enforced at the content type level.
During the migration to SharePoint Online, we re-implemented Nintex workflows in Power Automate, preserving approval chains. Sharegate carried over lists, libraries, permissions and content.
To drive user adoption, we rolled out role-based training, produced short video tutorials, and appointed departmental “power users” as internal champions. The final solution delivered a secure and efficient portal that reduced email dependency, reinforced compliance controls and ultimately enabled ophtalmic to achieve ISO certification.
